You should ensure your directions to Records staff are clear in that: • you don’t hold on to shared records such as Student files for extended periods, either complete your action as soon as possible or ask for the file/s to be Resubmitted on a relevant date convenient to you; • your name is marked on the cover of the file, dated and initialled before you pass it on; • you mark on the file cover to whom you would like it to go next or PA (for Put Away) if you would like the file returned to Corporate Records; alternatively • if you have several people that you would like to see the file AND in a particular order, then put their names in priority order with numbers against their name on the file cover; • you remember to have checked your own work place before seeking Records staff assistance to locate mislaid files; and • you advise Records staff of changes in your work location/s as soon as possible – so that they can transfer the file/s to the new person responsible.
