How is group travel prepaid through the eTravel system?
A single travel request is entered for the group, typically under the name of the group advisor. The total amount for airfare (if applicable) for the group is prepaid against that travel request. A list of the travelers should be attached or included in the comments. For travel on sponsored projects administered by the Office of Sponsored Programs, each traveler must have their own approved Travel Request even if no costs are claimed. In the event that there is a need to book a group of people for a trip where the travelers’ names have not yet been determined, a 1303 requisition form must be sent to the Office of Sponsored Programs Purchasing Department. The Office of Sponsored Programs Purchasing Department will issue a purchase order for airline tickets, conference services or rooms. This purchase order will authorize the travel agency to book the trip, invoice for any initial costs, and hold prices on tickets.
