Can I use my Pcard for travel expenses?
• A: No. The purchasing card is to be used for small purchases of less than $5,000 from suppliers from whom you would otherwise receive an invoice for payment. The intent is that it be used for commodities such as office supplies, lab supplies, computer supplies. However it cannot be used for entertainment or for business travel because both of these types of expenditures require approval of the expenditures incurred by the person to whom the person claiming the entertainment or business travel expenditures reports. The reasons for this one-up approval requirement are as follows: 1) Revenue Canada requires that all payments to individuals be included in the income of that individual except in those cases where they can be shown to be business expenses, supported by receipts and with appropriate university approvals. 2) Business travel expenses are sensitive expenses that the university believes require scrutiny and approval by the person to whom the claimant reports.
